The Process:

Phase 1 - Database Customisation

Following completion of a scoping document, discussions follow to fully map your business processes.  This identifies the various types of data which needs to be captured and used for sales, marketing, on-going communication and reporting.

There are over 60 customisable fields of various types - drop-down selections, dates, numbers and free-form text.  We then design the best combination of these to capture and record all the data required in a logical format.  Now the CRM system is ready to receive your data.

Phase 2 - Data Preparation

Next, using a highly secure document transfer system, data is sent to us to prepare in a suitable format for eventual uploading to the database.  Data can include leads, prospects, existing clients or customers, suppliers and other categories and may take several forms including:

  • Excel spreadsheets
  • Exported Outlook files
  • Word documents
  • Business cards
  • Other - including all your "bits n pieces" - enquiry sheets, index cards and any other data which needs to be included.

We will combine all the data into a single spreadsheet and include new columns for data identifed in the scoping conducted in Phase 1.  At this point, the client may populate with any missing information, classify contacts in various ways accordingly to the newly designed database.

Finally, we upload the data in a single process.

Phase 3 - Prepare and upload standard emails and letters

In every business, there are always repetitive tasks that can be automated using standard emails and/or letters.  We not only review your existing processes and the correspondence with flows, but also recommend other items to further nurture your contacts. 

Imagine being able to send one or more emails or letters in just a couple of clicks, PLUS have that correspondence attached to the person's individual record as an activity note.  Documents of any kind can also be stored with a contact record at any time. 

Examples of nurturing letters include:

  • Acknowledging an order, sales or customer service issue
  • Reporting the status and culmination
  • Thank you letter
  • Follow up letters at suitable intervals
  • Referral reward program

Phase 4 - Upload and Training

Using the latest technology in remote access tools, with our client standing by and permitting access, we assume control of your computer and upload both the database licence and the fully customised database, complete with data, branded letters and emails and established user accounts with suitable security settings to lock down the framework of the system.  This means that certain functions of exporting, deleting and changing the database field names etc can be limited to certain personnel to preseve the integrity and security of your information.

Training is then conduction in one 2 hour session, followed by more advanced training in a subsequent session, when the client is ready.  This is usually within 2-3 weeks of the installation.

Phase 5 - Ongoing Support

For the next month, we are available by phone or email to assist with your queries, training or other enhancements which may be required to your database.  Using the remote access tool, we can easily see what you may be trying to do and suggest ways to do it better.
